Move contact to an other adressbook

Postby Mogui » Fri Nov 18, 2011 1:26 pm

Hello,

I post there because I have found a feature that needs some better user experience.

When I want to move a contact from an adressbook "A" to an adressbook "B" and if contact have a company, then GroupOffice wants to move her company to adressbook "B".
Then because of that, *all* contacts of the company in addressbook "A" are migrated to addressbook "B".

But I want only move ONE contact and but not the entire company.

Can you change the mechanism to copy only company (and not her employees) in new addressbook ?
Or if company already exist in the new addressbook, juste move the contact to the new addressbook and integrate him in company ?

The contacts and companies that belong together must stay in the same address book so they always have the same permissions.

Merijn, I asked for the same thing (felt) years ago and you gave me (about) the same answer, but i simply don't want all contacts of a company in the same addressbook and I also do not want same permissions to all contacts in the same company.

e.g. my accounting department does not need the contacts of the boss of my partner company (including his private mobile and some comments regarding private likes and dislikes. And on the other hand i do not want to have every accountant synced on my mobile.

I understand that it is not easy to predict the way others work, but i think your concept to handle contacts of a company does not fit the needs of some of your customers.

so please (!) change this!

thanks, Wolfgang

That is an interesting feature request, webwolfi.

But if this should be implemented a couple of other things should be considered:

Today when adding a contact, GO will only suggest companies from the same address book when we start to enter the company name in the "Company" field.

This would probably have to be changed, so that GO will match hits from all available address books, and then the name of the address books should be visible in the "auto-drop-down" thing for the company field.

Also, when we move one company from one address book to another; What should happen with the contacts, which may be scattered across several address books ( like accountant department, executives, janitors etc).

My suggestion is that if it is made possible to keep companies and their contacts in different address books the following funcionality must also be created:

1. The option to do this at all should be configurable from admin ( Possibe to keep company contacts in different address books: Yes / No )

2. If "Yes" is selected in #1: GO must search all available address books (and show the address book name in hits) in the "Company field"

Also there must be a good solution for these situations:

3. What should happen when you choose to move a company to another address book?

4. What should happen when we use the "Empoyees" tab on the company and add contacts there?

1) I agree, that this feature is mainly necessary if you work with bigger companies, so from my side there is nothing against a yes/no admin option but also nothing for it (see bellow)

2) see 3

3) I don't think, that a company must belong to a users's addressbook. Companies should "belong" to a kind of "global addressbook" and only the contacts should belong do users addressboos or shared addressbooks.

4) a companies employees tab should contain all contacts referring to the company (If you have no read access to a contact, you only can see the name to be informed that the contact already exists in the system). New contacts should be added to the users default addressbook by default. Like every contact you can move it to any shared addressbook if you like to.
