Hi,
OK so in my case, I just wanted GO for a shared staff calendar. So this is just about the process of how to get your user calendars in place, give them a few pre-made views, give them the means to create their own views but not ruin the ones you made, and so on.This assumes you have a few users already in your user database too.
FIRST, create a Group to hold your Resources
Log in to GO as the Administrator.
Go to the Calendar Tab
Click the Administration button
Click Resource Groups
Click Add
Type in a name for this group of resources.. like "Bookable Rooms" or "Equipment"
Click Ok
Perfect. You just made a container to attach resources to.
SECOND - Create your bookable object/resource thingy
Click the Resources tab
Click Add
Give your new resource a name - "Board Room", "Laptop", whatever it is.
From the Group box, pick the Resource Group you just made so that this resource falls under that group of resources
Add any other descriptive info you want like "This is a Sony laptop and you need the key from Jen to get it from the safe"
Still with this Resource you are adding, click the Permissions tab
Make sure you have the Internal or Everyone group added with Read access
Click Ok. Now you're back to the Administration window.
Now everyone of your users can see this resource, and book it, but they can't edit the name of it or what resource group it falls under.
Great. Now you have a device or room people can see and book out. How about combining it with other stuff? Lets make useful Views
Click the Views button
Click Add
Give this new group view a name like "Toronto Office"
From the list of people and resources, put checkmarks beside the ones you want to all appear in one shared view. So maybe you add Rick, Dave and John, as well as the Toronto Board Room and Toronto Projector from the resources items. You have a nice neat singular view of all the people and things in that location.
Click the Permissions tab
Add the Internal and/or Everyone group and give them Read permissions.
Click ok. You're back to the Administration window again.
Great. Now you have a view everyone can use, but they can't mess with it. Your administrator account manages it.
You want them to be able to make their own views? Sure thing.
Click ok again to close the Administration tab.
Click the Modules tab (or use the Start Menu -> Modules at the far top right if the tab isn't there yet).
In the list of modules, double click the Calendar entry.
Add the Internal or Everyone group and give it Manage permissions.
Now everyone can make their own preferred views for themselves, their own colour schemes for events, etc, but they still cannot mess with the pre-made views you setup for them either. So maybe John in Toronto wants a view that just shows himself and the Toronto Board Room and Jen.. so that.. you know, they can meet, and.. do stuff... when the room is available.. and others will see they are busy.. not to be disturbed.
Enjoy.
